Extra Charges

Any extra charges that needs to be applied to this invoice can be added under the Extra Charges button. To add any additional charges, click on the Extra Charges button to load the extra charges section to the bottom of the GRV screen.

These Extra Charges can be any transport charges or foreign exchange expenses or even expenses that are not the norm for  every single delivery and they have not been incorporated into the cost of the stock item when it was first ordered. These Extra Charges are setup under the settings button for the Branch when it was first created.

To add an extra charge to a GRV click on the Extra Charges button to display this section below the GRV screen.

As these charges are pre defined you first need to select the Name of the extra charge. Click on the selection arrow in the Name column and select a name for the pre defined charge from the defined list. The Sundry type has been setup as well as the EC/IC (Extra Charge or Import Cost) definition which will be automatically select as soon as the Name has been determined.

Your GL Code which has also been pre determined will also be added to the extra change. The user will be able to select a different GL code if they know the code instead of the name of the extra charge.

They however cannot select a name with a different GL code. They have all been setup previously.

Now that you have selected your Extra Charge you can allocate this charge to a supplier by selecting a supplier, clicking on the ellipsis button under the Supplier column.

By hovering the mouse over the supplier number the user will be able to see the current base currency of the selected supplier. To change a supplier click on the ellipsis button and select a new supplier for the selected charge from the pop up list.

Once you have made your selection click on the OK button to load the highlighted supplier for the extra charge. Once the supplier has been loaded the user will now be required to load the Invoice number for the extra charge.

Extra charges should have been pre-defined when the Branch was setup. If a Extra Charge was setup then the Totals column will be clear so that the user can enter a amount total representing the percentage of the Invoice sub-total that will be applied as an extra charge.

In the example above there is a amount total entered into the column. Once a total is added then your Sub-total will reflect this additional charge accordingly.

The user has added a value charge of R3.50 for insurance value and R5.20 for freight value to the product grid, in the following example you will notice that the value (excl) gets added to all the items selected and it is quite obvious that this charge has been added to the Sub-total of the invoice. (see above example).

The setup for Customs duty works a little bit different, as you can see in the items column when this feature comes into play Procure.net creates 2 extra columns in the grid with a different color,

You can enter figures in the % column or value column on the grid, the grid will take the totals of all items and add them up. This amount also gets add to the sub-total grid of the invoice.

Note: this feature is only going to work once it has been setup under your Branch Details.

If the extra charge that has been loaded is not a taxable item then the user can de-select the Tax flag and this will adjust the GRV's total tax value for this GRV.

Once you have loaded all your extra charges for the GRV that you are processing you can revert back to the original selection by clicking on the Extra Charges button again.
